How Haugen Group simplified claims management and inbound reporting with IMI

Operating across five countries, Haugen Group imports food and wine from suppliers around the world.

A solution adapted to Haugen Group's way of working

To improve efficiency in goods reception and claims handling, Haugen-Group partnered with IMI to replace manual processes with a faster, more structured way of documenting damages, reporting deviations and sharing information with suppliers.

Today, Haugen Group uses IMI’s solution to register incoming goods, document damages, generate reports and provide suppliers with the information they need to resolve claims quickly and accurately.

The collaboration with IMI has been very good. We've had a close dialogue and been able to get our requirements fulfilled, both in terms of how we wanted the system to work and how we wanted to work with it."

The challenge:

A manual process that consumed valuable time

Before implementing IMI’s solution, damage reporting and goods reception relied heavily on manual work.

Information was written down on paper, photos were taken with a standard camera and then manually transferred to a computer before being emailed to the relevant department. This process required several separate steps, making it both time-consuming and difficult to manage efficiently.

  • Goods receipts were documented manually on paper
  • Photos were taken using separate cameras
  • Images had to be transferred to a PC before being shared
  • Claims and deviations required multiple manual steps
  • Valuable time was spent on administrative tasks rather than operational work

“It was a cumbersome way of working. I wrote everything by hand on paper, took photos with a regular camera, transferred the pictures to a PC and then sent them by email.”

As the volume of inbound deliveries increased, Haugen Group wanted a solution that could reduce administration, save time and simplify the entire process.

The solution:

Digital claims management and real-time reporting

Haugen Group implemented IMI’s solution to digitise damage reporting and inbound handling.

Instead of documenting deviations manually, employees can now scan incoming goods, register damages directly in the system, capture photos and generate reports immediately. Information is then available for the supply department, which can continue the dialogue with suppliers.

The system consolidates critical information in one place, including:

  • Container numbers
  • Supplier information
  • Product details
  • Item numbers
  • Batch data
  • Transport information
  • Damage documentation and images

This eliminates much of the manual administration previously required to compile and share information.

“If goods are damaged, we can easily go in, make changes, create a report and take photos, which are then sent to our supply department and on to our suppliers.”

The result:

Faster claims handling and more accurate information

By digitising claims management and goods reception, Haugen Group has significantly simplified its daily operations.

Instead of manually recording information on paper, warehouse teams can scan pallet labels and instantly access the correct information. This reduces administrative work while improving data quality throughout the process.

  • Faster deviation reporting
  • Less manual administration
  • Immediate access to accurate product information
  • Easier communication with suppliers
  • A more structured and consistent claims process

“Instead of reporting goods on paper, we can now scan every pallet label. It simplifies things. You get the correct information immediately.”

The effect:

Better visibility and stronger supplier dialogue

One of the biggest benefits for Haugen Group is the ability to capture and analyse damage data over time.

The team can now generate reports showing where damages occur and how frequently they happen. This information is shared with suppliers and provides valuable documentation when discussing quality issues and improvements.

  • Historical reporting of damages and deviations
  • Better insight into recurring issues
  • Data-driven supplier discussions
  • Improved control over inbound quality

“We can generate reports and send them to our suppliers to see where and how much damage has occurred over a period of time. They can then use that information in discussions with suppliers.”

The result is a process that is not only more efficient but also easier to manage and follow up.

The partnership:

A solution adapted to Haugen Group's way of working

For Haugen Group, the value goes beyond the technology itself.

A close collaboration with IMI has made it possible to tailor the solution to their operational needs and preferred ways of working. Throughout the project, the teams have worked closely together to ensure the system supports day-to-day processes in the warehouse.

“The collaboration with IMI has been very good. We’ve had a close dialogue and been able to get our requirements fulfilled, both in terms of how we wanted the system to work and how we wanted to work with it.”
